Billing and Payroll Administrator

Do you have 3 or more years of experience with Construction trade specific billing and payroll? i.e. (Electrical, Mechanical or communications/ data/ security wiring)  Do you enjoying being part of a fast paced team in the areas of Accounting and Project Management?  We’re hiring for an exciting new role within our growing Electrical Contracting business and are looking for an experienced Billing and Payroll Administrator to handle our customer billing and  union member payroll and become part of our Accounting team.

Salary will fall in range from $48,000-$58,000 per year based on experience and industry knowledge.

 

Billing Responsibilities:

  • Draft, finalize and issue accurate construction progress invoices (AIA) and time & material service invoices to customers on a timely basis and prepare amendments as required and obtain Project Manager’s approval
  • Prepare the holdback release invoices to customers with all the appropriate CCDC forms & posting of Form 9 if required.
  • Follow up with customers & engineers on Invoice draw approvals and obtaining a Certificate of Payment
  • Respond timely to Customers & Engineers queries regarding billing concerns and invoices
  • Maintain & update customer & project files both in accounting and billing software.
  • Perform analysis of overdue & aging accounts and follow up as required
  • Perform outbound calls to customers for payment collections on outstanding account balances with Manager’s approval
  • Maintain job files & liaise with the sales team to manage customer projects and ensure compliance with supplier requirements
  • Assist with project planning, progress monitoring, and cost control
  • Ensure completion of job pre-qualification documents and liaise with finance team on new account creation
  • Obtain Certificates of Insurance (COIs) & Workers Compensation Clearances when requested
  • Collaborate effectively with field members, architects, engineers, contractors, and subcontractors and other trades.
  • Provide administrative support and assist in the day-to-day operations of the construction team
  • Ensure strict confidentiality and privacy of financial records and details as they relate to the organization and its business partners

Payroll Responsibilities:

  • Collect, verify, and process weekly payroll time sheets for a unionized workforce and maintain accurate payroll records
  • Process all employee weekly expenses
  • Identify and resolve payroll discrepancies
  • Ability to work with unions, interpret and update wage schedules, burden tables, and monthly union reconciliation
  • Complete accurate and timely end to end processing of payroll terminations with ROEs using HRDC WebROE, and employment confirmation letters.
  • Calculate and verify monthly and annual returns for provincial items like WSIB, EHT and reconcile all bi-weekly Payroll Source Deduction remittance
  • Assist in Annual preparation of T4
  • Calculate and verify entitlement for all legislated statutory holidays by province.
  • Ensure proper documentation and approvals are received for all payroll transactions.
  • Correspond with site personnel and employees regarding payroll issues.

 

Requirements

  • Post secondary education in Accounting or Business Administration.
  • 3+ years of Billing and Payroll experience in a construction-related industry (ie.Electrical, Mechanical, General Contracting, etc.)
  • Experience with Sage 50 and Accubid Time and Material or equivalent.
  • Ability to set priorities, manage multiple responsibilities, and meet deadlines while delivering a high degree of accuracy.
  • Strong problem solving & analytical skills, including researching and recommending solutions
  • Able to communicate in a clear and concise manner both verbally and written
  • Advanced knowledge of Microsoft Office and 356 programs, including Word, Excel, Outlook, & Teams
